Setauket PTA Board Position Descriptions

(Co)President


In addition to monthly executive & general PTA meetings duties include: 

  • Reviews all contracts and agreements in the name of the PTA
  • Preside at all meetings of the association
  • Coordinate the work of the committees toward a common goal
  • Meet frequently with School Administration to discuss current events issues/share information
  • Develop annual operating budgets
  • Sign checks
  • Hold Executive Board Meetings 1x/month
  • Update By-Laws as necessary
  • Ensure proper methods and protocols are followed for committee work

Vice President

  • Presides at meetings in the absence of the (co)president or upon the (co)president’s inability to serve.
  • Assumes the duties of the president in the event of the president’s resignation until the position is filled in accordance with the bylaws.
  • Acts as aide to the president and assumes responsibility for duties assigned by the president.
  • Assist VP of Fundraising and Events if necessary.
  • Make sure audits are completed
  • Coordinates registration at region PTA workshops and training as needed.

Vice President Roles

Vice President of Fundrasing: 

In addition to monthly executive & general PTA meetings duties Include: 

  • Solicit committee heads to chair all Fundraising events (i.e. Holiday Boutique, Book Fair, plant sale, After School Activities, Teacher Appreciation Week, Basket Dinner etc.)
  • Train committee heads in proper procedures
  • Approve the work plans of all committees 
  • Support committee heads in any way needed
  • Present a report at PTA meetings
  • Ensure proper protocol is followed with coordinating events throughout the district 
  • Look at current fundraisers and revise based on community interest

Vice President of Events: 

In addition to monthly executive & general PTA meetings duties include: 

  • Solicit committee heads to chair all Events (i.e. Movie Night, GU, Multicultural Night, Spring Fling  etc.)
  • Train committee heads in proper procedures
  • Approve the work plans of all committees 
  • Support committee heads in any way needed
  • Present a report at PTA meetings
  • Ensure proper protocol is followed with coordinating events throughout the district 
  • Look at current fundraisers and revise based on community interest

Vice President of Communication

In addition to monthly executive & general PTA meetings, duties include: 

  • Manages and maintains the PTA website and other digital communication platforms
  • Oversees PTA communications to keep families informed about programs, events, initiatives, and important updates
  • Posts PTA event fliers on website and Remind app
  • Prepares & sends email blasts and social media posts as requested on behalf of PTA
  • Prepare and distribute monthly newsletter 

Treasurer

In addition to monthly executive & general PTA meetings, duties Include: 

  • Collect all monies of the PTA
  • Keep full and accurate accounts of receipts and expenditures Issue checks for payment
  • Present financial statements at each PTA meetings
  • With help of President(s) prepare a budget for submission to the members
  • Signatory on bank account and checks
  • Manage bank accounts and online access
  • Withdraw cash as needed prior to fundraisers and programs that are utilizing cash 
  • Have the accounts examined annual by our auditor(s)

The treasurer shall deliver to the auditors the following: checkbook and canceled
checks, itemized statements of bills paid (canceled checks and bills should be kept seven years), bank statement of the balance.

In addition to monthly executive & general PTA meetings, duties include: 

  • Prepares and posts photos and dates for the indoor & outdoor bulletin boards
  • Sends any outside correspondence as necessary
  • Reads any correspondence to PTA at General Meetings
  • Sends Thank You notes to all event/fundraising chairs throughout the year

In addition to monthly executive & general PTA meetings, duties include: 

  • Record and maintain minutes of all PTA meetings
  • Copy and distribute minutes at PTA meetings for a vote
  • Has on hand for reference at each meeting a copy of the approved bylaws and procedures (standing rules), minutes of previous meetings, including treasurer’s reports

  • Meet monthly with other representatives from all district schools
  • Provide feedback to administration & board
  • Follow-up on issues or provide resources as directed by principals

  • Develops and promotes PTA membership initiatives throughout the year
  • Encourages families, teachers, staff, and community members to join and actively participate in the PTA
  • Welcomes and engages new and returning PTA members
  • Coordinates the selection, ordering, promotion, and sale of school spirit wear and merchandise
  • Develops school spirit initiatives that strengthen our school community
  • Creates opportunities for families to connect, participate, and become more involved in the PTA and school community
  • Works collaboratively with the Executive Board to support membership goals, school spirit, and overall PTA engagement

Coordinator of Membership & School Spirit

  • Develops initiatives that encourage family and community involvement in the PTA and school community
  • Builds and strengthens connections among families, school staff, the PTA, and the broader community
  • Creates opportunities for families to connect, participate, and become more engaged in school activities and programs
  • Supports outreach efforts to ensure families feel welcomed, informed, and connected
  • Identifies new opportunities and partnerships that strengthen family and community engagement
  • Collaborates with PTA committees and school representatives to support programs and events that bring the school community together
  • Works with the Executive Board to support meaningful family engagement and strengthen school-community partnerships
  • In addition:
    • Class parent liaison: oversees the sign-up & selection process for Class Parents & PTA liaisons for grades Pre-K-5 & manages Class Parents throughout the school year.
    • Make sure each liaison is aware of the classroom gift budget and basket dinner obligations.

Member-at-Large

  • Represents the interests and perspectives of the general PTA membership
  • Serves as a liaison between PTA members and the Executive Board
  • Provides input and feedback on PTA programs, activities, and initiatives
  • Assists the Executive Board with projects and responsibilities as needed
  • Supports PTA events, programs, and committees throughout the s
